Of course, we need some basic information, which we use to create an account for you. We are also required by law to verify the identity of our customers, for which you go through the ID verification via a special app (a secure environment). The Postbox is anonymous to the sender of the mail, because the sender does not see your private address but the address of the Postbox. If you want to be completely anonymous, you can add an alias as the addressee, so that the mail can be sent to this name.

We also have fixed, representative office locations throughout the Netherlands, so you don’t have the problem of your mailbox being moved all the time.

PriPost’s postal locations are not suitable for receiving (letterbox) packages. In addition, PriPost only processes mail and not parcels, not even letterbox parcels. To receive parcels, you can use the PriParcel service. More information about PriParcel can be found here.

There are costs associated with storing mail that therefore increase over time. That is why it is important to replenish the balance in a timely manner. If the balance is not replenished for a long time and the debt continues to increase, then at some point we will terminate the Postbox and transfer the debt to a collection agency. Of course, this does not happen just like that, but only after we have already sent several messages about this to help you remember to top up the balance.

We can indeed store the mail for you if you are not able to receive it for a while. This is free of charge for the first 30 days and after that an amount of €0,05 per item per day will be charged. You can have the mail forwarded on demand when you are able to receive it again. You can easily arrange all this yourself via the portal.

Please note; do not confuse our service with the former storage service of PostNL (which no longer exists). With us you really have a different postal address of which you will have to inform the sender. Another option is to temporarily use the forwarding service of PostNL in combination with our service.

If you choose to have your mail forwarded we are also dependent on PostNL, because they are the ones who deliver the mail. Nowadays, unfortunately, we can no longer assume that this is always within one working day, as PostNL indicates, but it can take a number of working days. You will receive a notification from us when we have put the mail item in the mailbox.

That’s possible! In that case, choose ‘Scanning’ and then ‘Scan the envelope first’. You then decide what to do with that envelope; forward unopened, scan, or destroy.

Regular mail cannot be received at a PostNL point. It is only possible to receive parcels via a PostNL point. You can, however, have your mail forwarded as a parcel and then choose a PostNL point.

If you choose scan and destroy (like 70% of our customers), the scans will remain available to you. The physical mail items are destroyed by us, but that does not affect the scans. You can always find these in your inbox as long as the Postbox is active. You can divide the inbox into folders, so you can archive the scans in an orderly manner. You can also drag and drop the scans into the Trash folder where they will be automatically deleted after 30 days.

If you choose scanning, you will immediately receive an automatic notification when a new scan is ready for you. We scan several times a week so you will always receive the mail quickly.

For the average mail recipient, the scan and destroy option is the most cost-effective option. The mail item goes through the scanning line and the physical mail items are destroyed. We maintain a safety margin of 2 weeks, so in the unlikely event that there is mail that does not need to be destroyed, you can always let us know.

There are certain postal items that are never scanned but are always forwarded. Think of cards, PIN codes but also other official documents. For security reasons, a bank card and PIN code will never be sent on the same day.

Security is our number 1 priority and not all email providers are equally secure. That is why we upload the scans in the portal, because that is a secure environment. The scans are also stored encrypted for extra security.

You can, however, create ‘smart folders’ in the Inbox to which you link an email address. If you drag a scan into this folder, the document will automatically be sent to that email address.

One scan covers one page. If a post item contains multiple pages, a scan is made of each page.

As soon as mail arrives for you, we first check whether it contains advertising and whether it should be filtered out (according to your settings). After that, the mail is opened and scanned in the scanning lane in a fully automated way, after which the scans are automatically added to your Postbox. You will then receive a notification that a scan is waiting for you in the Inbox. The mail will then be further processed according to the settings you have chosen (destroy or forward).

You can choose to have the e-wallet automatically replenished by using direct debit. We check at several times whether the balance is still sufficient and, if necessary, a direct debit will be carried out. The amount is determined based on the services you purchase and your usage in the last period. You will be notified before we start collecting. More information can be found on this page.

Once the month is over, you will receive an invoice for that month after about a week. On this invoice you will find all costs as well as all deposits that have been settled with the e-wallet. All costs are neatly specified per service. This invoice is intended for your administration because the costs have already been paid.

Our extensive invoices have been reviewed more than once with a thumbs up by accountants and bookkeepers, so you’ll probably be happy too!

We use an e-wallet in which you deposit money yourself. All costs of the Postbox will be deducted from the balance of the e-wallet. The only thing you have to make sure is that there is sufficient balance in the e-wallet. You can deposit money via the portal (e.g. via Ideal) and you will receive a reminder when the balance is low. You can also opt for direct debit, where we ensure that there is always sufficient balance. This way you don’t have to worry about it yourself!

Every month on the 1st of the month, the subscription costs for the use of the Postbox will be deducted from the balance in your e-wallet. The costs for processing the mail will be settled at the time we process mail for you.

This depends on the amount of mail you receive. Nowadays you don’t receive much mail anymore because many things are sent digitally. There is still a lot of advertising being sent, but you can have us filter it out (for free). Then really only the important mail remains, which is an average of 2 letters per month. There must be sufficient funds in the e-wallet to cover the costs of mail processing. If there is €0,- in the e-wallet, this is insufficient and no mail can be processed. That’s why it’s important to always make sure you have enough funds. An easy solution is to use direct debit. In that case, there is automatically sufficient balance in the e-wallet and you no longer have to worry about it. You can find more information about direct debit here.

One scan = 1 page. If a post item contains multiple pages, a scan will be made of each page. In most cases, a letter consists of 1-3 pages or scans. When a piece contains a lot of pages, we only charge a maximum of 20 scans and the rest is free.

If the direct debit is not successful, the direct debit authorization will be revoked and blocked for a period of 3 months. During this period, you will have to ensure that you have sufficient positive balance in the e-wallet. After the period of 3 months, you can issue a new direct debit authorization.

If you move mail items to the trash, they will remain there for another 30 days. If you accidentally move something to the trash, you can easily put it back in another folder. You can also choose to empty the trash immediately. If you do this, then the post is really completely deleted. Sometimes you have to refresh your screen to see this.

You have multiple folders at your disposal in the portal’s inbox, and you can also create your own. Once you have seen and processed the post, you can move the documents to the archive folder or to another folder. Here, the post will simply be saved for you. Only when documents are moved to the trash are they permanently deleted after 30 days.

At PriPost we work entirely digitally and all communication runs through the e-mail address that we have from you. If the e-mail address no longer works or you no longer have access to it, it is important to let us know as soon as possible. To do so, please contact us by phone and have your ID ready so that we can verify that it is really you.

It’s important to know why you can’t login anymore. In most cases, this is because you enter the password and/or username incorrectly. You can request the username from us, you can reset the password. To do this, go to the login screen and click on ‘forgot username’ and/or ‘forgot password’.

The Rental Agreement Postal Address can be found on the PriPost dashboard. Please note; it will only be available when the Postbox is fully active. Also, the rental agreement is only available to business customers.

You can easily do this yourself in the portal under My account > Addresses. Here you can see all the addresses we currently have from you and you can add a new address and choose which address should be your Forwarding address.

Ultimate Beneficial Owners

UBOs are the ultimate owners or persons who are allowed to make decisions in an organization. Think of people who have more than 25% of the shares in a private limited company. Or people who own more than 25% of a general partnership or partnership, or more than 25% voting rights in an amendment to the articles of association of a foundation or association. Does no one have such a stake of more than 25%? In that case, the senior manager(s), for example the partners or the directors under the articles of association, are the UBOs. Every organisation subject to UBO has one or more UBOs.

  1. Are there natural persons who hold 25% or more of the shares of the legal entity directly or through another legal entity?
  2. Are there any natural persons who are entitled to or have special control over 25% or more of the assets of the organisation?
  3. Are there any natural persons who are entitled to a share of 25% or more in the profits of the organisation?
  4. Are there natural persons who can exercise 25% or more of the voting rights in the general meeting of the organisation?

If you answered question 1 with “yes”, fill in the details of all UBOs with the % Share for each UBO.

If you answered question 2, 3, or 4 with “yes”, fill in the details of all UBOs and tick Control. In addition, you also fill in the persons with actual control. Please note: there is always at least 1 person with actual control.

If 1 UBO has both a % Share and Control, indicate both.

All questions = No
Did you answer ‘no’ to all the questions? In that case, a senior management member must be regarded as UBO (often a director or official authorised to sign). Then state the details of the natural persons who are authorised to take and sign board decisions on behalf of your organisation.

Does a foundation have UBOs

The following interests may apply in a foundation. Based on these interests, you as an organisation decide which persons the UBOs are.

Who has a stake in your organization?

  1. People who are entitled to more than 25% of your foundation’s assets
  2. People who have more than 25% voting rights in the decision to amend the articles of association
  3. People who have a say in a different way, but are not directors

Are none of these interests applicable? Then the directors are the UBOs

Verification is successful if you no longer see a notification about the ID in the portal. You didn’t receive a confirmation in the app? Check the portal to see if you still see the ID verification at the current status of your Postbox.

Indeed, verifying your ID document can only be done via our special app. Once you’ve completed verification, you can remove the app from your phone. We use the app because it is a secure environment and because verification is automated. If the ID document has been verified, we do not store it and so we can be sure that the information cannot fall into the wrong hands.

Even if your company is located abroad, we are obliged to carry out checks. If your company is not registered in the Dutch Chamber of Commerce Trade Register, we would like to receive an extract from the trade register from the country where the company is registered.

If you have a sole proprietorship or self-employed company, then there are indeed no UBOs to register in the UBO register of the Chamber of Commerce. However, we ask all business customers to complete our UBO-statement. You then indicate that your company is a sole proprietorship and you do not have to report UBO’s to us.
