Stating the Postbox number is important!
To ensure that we can process your mail smoothly and correctly, it is important (and necessary) that your relations state the Postbox number and the addressee when they send mail to you. You can imagine that it will be difficult for us to sort and process mail without a Postbox number and the risk of errors is greater.
To ensure that, in the absence of a Postbox number, the mail nevertheless reaches the correct person, we sort these mail items by name (addressee). However, this entails considerably more work, which means that we are forced to charge extra costs per item of mail where this is the case.
However, if a Postbox number entry is not possible due to automated systems, we do not charge extra costs for this. This is the case, for example, with PostNL’s relocation service. This only works with entering a zip code and house number and does not allow an extra field. A list of companies that are known to us where stating a Postbox number is not possible can be found below:
- Verhuisservice PostNL
- Waternet
As you can see … this list is very small. If you have found an institution where this is not possible, we would like to hear it. If this is demonstrably indicated, we will also place this on the list above and no extra costs will be charged for sorting without a Postbox number.
Postbox listing at the Chamber of Commerce
If you, as a company, association or foundation, want to change the correspondence address at the Dutch Chamber of Commerce, use one of our office addresses with the addition “UNIT” + your box number (as an example Unit P365). Note: do not enter this in the ‘toevoeging’ field but in the ‘aanvulling’ field. When using the PO box address (instead of an office address) it is not possible to state an ‘aanvulling’. In that case we sort your mail by addressee, which entails extra costs.
To change the correspondence address at the Dutch Chamber of Commerce in one of our office locations you need a permission form from PriPost. We prepare this for you free of charge. You can request this by sending an email to customerservice@pripost.eu and state your Box number. We upload the document to the PriPortal where you can download it. Please note: you cannot change your registration address with this permission formulator. You need a rental agreement for this. You can find more information about this on the page for business establishment.
The correct mentioning of the Postbox number
The Postbox number can be stated in the address in various ways. Although it is preferable to state the Postbox number as a second address line, it may be mentioned anywhere else in the address. You are free to use another designation such as ‘Unit’ or ‘Box’ prior to the Postbox number. This is optional and not mandatory (Exception is the location in Rotterdam where Unit 303 must always be stated prior to the box number).
A Postbox number consists always of 1 letter and 1 to 4 digits. For administrative reasons we always use 4 digits (leading zeros). However, this is not necessary. You could thus use P0365 or P365. Some examples of how the Postbox number can be correctly stated in the address:
